Five situations, and what we'd actually send
If one of these is close to yours, the answer is usually specific rather than general. Each one below includes the first email we'd write, and what the list behind it looks like.
A manufacturer selling through distributors and specifiers
The situation
The product is good, and the people who choose it — architects, specifiers, engineers, distributor buyers — don't know it exists. Selling happens at two trade shows a year and goes quiet in between.
What we build
A specifier and distributor list built by region and practice type, with the person who actually writes the specification identified rather than a generic info address. A sequence written for someone who reads technical documentation all day and marketing copy never. Articles answering the specification questions that come up on every call, so they're findable at two in the afternoon when someone is mid-project.
Why it works
This buyer isn't hard to reach. They're hard to reach correctly. Get the register wrong and it's gone in two seconds; get it right and they answer, because almost nobody writes to them properly.

Hi —
You're specifying solar shading on commercial fit-outs, and the thing that usually slows that down is that manufacturers publish one g-value and nothing about how it moves across different glazing build-ups. So it either gets approximated or it goes back to technical for a week.
We publish the full set — g-value, openness factor and Tv for every fabric across four standard build-ups — as a datasheet and as NBS-ready clauses. It drops into the spec without a phone call.
Would that be useful to have on file, or do you already have a source you trust for it?

Generic version vs. version written for this buyer
Our innovative solar shading solutions combine cutting-edge fabric technology with market-leading design flexibility. Trusted by leading architects across Europe, our systems deliver exceptional performance and aesthetic versatility for even the most demanding projects. We'd love to show you what's possible.
The range covers openness factors from 1% to 10%, with g-value and Tv published for each across four standard glazing build-ups. Datasheets are NBS-ready. Lead time is six weeks from order, ten if the fabric is dyed to a custom colour.

|---|---|---|---|
| Architecture practice, 20–50 staff | Specification Manager | Publishes completed commercial projects in this category | Practice register |
| Regional distributor | Head of Purchasing | Carries two competing lines, none in this segment | Trade directory |
| Interior contracting firm | Technical Director | Named on tenders in the target region | Public tender records |
| Architecture practice, 5–20 staff | Principal | Specifies directly; no separate specification role | Practice register |
A distributor or wholesaler opening a new country
The situation
The domestic business works. The new market has no relationships, no reputation, and nobody on the ground. The plan is a hire, and the hire is a year away.
What we build
A list of the right companies in the new market, built from local registries rather than a pan-European database. First-contact sequences in the local language, checked by someone who speaks it. Enough content that when a buyer searches the company name after the first email — and they will — something credible is there.
Why it works
Entering a market is a contact problem before it's a sales problem. The constraint isn't the offer. It's that nobody there has heard of you yet, and the first email is doing the work of a reputation you don't have.
The email we'd actually send
Hi —
We manufacture contract-grade window coverings in the Netherlands and supply wholesalers in six European markets. Germany isn't one of them, which is why you've never heard of us.
Looking at your range, the project and contract side reads thinner than the retail side. That's the part we supply best, and in this category it's usually where the margin sits.
I'm not asking for a meeting. If it's useful I'll send the trade price list and the two product groups most likely to fit your range, and you can tell me whether it's worth a call after that.

We are a leading manufacturer with over 20 years of experience, exporting to markets throughout Europe. Our unwavering commitment to quality and customer service has made us a trusted partner for distributors seeking reliable supply and competitive pricing. We would welcome the opportunity to introduce our range to your team.
We're not in your market yet. Your project-side range looks thinner than your retail side, and that's where we're strongest. Trade prices land between your two current suppliers, and we hold stock in Rotterdam, so replenishment is four days rather than four weeks.

A professional services firm running entirely on referrals
The situation
Work arrives through the network. It works, until it plateaus — and the plateau arrives without warning, usually a quarter after the thing that caused it.
What we build
A defined target, a verified list, and a sequence the principal approves but doesn't write. Replies route straight to them. Everything upstream of the reply is handled, which is the part they were never going to get to.
Why it works
The constraint was never their ability to win the work. It's that nobody is generating the conversations for them to have, and the person best at winning the work is the worst-placed person to go find it.

Hi —
You opened a second site last year. In manufacturers around your size, the thing that usually breaks first is standard costing — the model that worked across one plant quietly stops telling you which site is actually making money. It fails silently, so most people find out at year end.
If that's already handled, ignore this and I won't follow up.
If it isn't, it's about six weeks of work. Worth fifteen minutes?

One marketing person doing the job of four
The situation
Someone owns marketing. They're competent, they're at capacity, and the two things that get dropped every month are the two slowest ones — outbound and long-form content.
What we build
The dropped lanes, running underneath them. They keep brand, events, product launches, and everything requiring judgement about the company. We take list building, outreach, reply triage, and the articles nobody has a spare week for.
Why it works
You don't need to replace them, and trying to is how you lose them. You need to stop asking one person to be four.
The email we'd actually send — voice-matched to the existing team
Hi —
You're running a mixed-age line at the Poznań site. The older sections are the ones that decide when everything stops.
We rebuild those sections without replacing the whole line. It's less profitable for us and it's usually the right call.
If there's a section you already know is going to fail, tell me which one and I'll tell you what a rebuild costs. If you'd rather wait until it does, that's information too.

Their existing copy vs. what we produce in the same voice
We build conveyor systems. They run for twenty years. Most of our engineers have been here longer than that. If you want a system that needs a service contract to survive its first winter, we're not the right people.

Same voice, different job. The point isn't that it's good writing — it's that it doesn't sound like someone else wrote it.

A B2B technology company selling to technical buyers
The situation
The product is technical, the buyer is an engineer, and the copy was written for a marketing buyer. It gets deleted in two seconds, and the sender never finds out why.
What we build
Copy written in the register the buyer actually uses, a list built from real usage and hiring signals rather than a bought database, and sending infrastructure that survives an audience who reads headers for fun.
Why it works
This audience is the most sceptical there is and receives more outbound than anyone alive. Nothing works except being obviously written by someone who understands the product — which is not a copywriting problem, it's a research problem.

Hi —
You presented on capacity planning at the operators' forum last month. The part about sampled flow losing microbursts is the problem we built for.
We run full-fidelity flow on a subset of links instead of sampled flow everywhere. That trades coverage for resolution — right trade for burst detection, wrong one for billing, so it sits alongside what you already have rather than replacing it.
Happy to send the architecture doc instead of doing a demo. Useful?
